Admin Assistant

Job Description:

  • Serve as the initial point of contact for internal and external visitors; verify and admit only those with valid and approved reasons.

  • Welcome, guide, and brief visitors and delegates; arrange safety orientations and issue security passes.

  • Manage calendars and schedules for senior leadership and committees to support effective time management and avoid scheduling conflicts.

  • Arrange travel, accommodation, visa processing, and transportation for managers and guests; coordinate access permits as required.

  • Screen incoming mail and calls; respond to inquiries professionally and in a timely manner.

  • Maintain an organized and confidential filing and record-keeping system to ensure data accuracy, accessibility, and integrity.

  • Prepare professional written materials such as reports, memos, letters, presentations, graphs, and statistical summaries in both Arabic and English.

  • Ensure the office environment is well-organized, efficient, and professionally maintained.

  • Handle sensitive information with discretion and uphold strict confidentiality at all times.

  • Operate and monitor basic office equipment; coordinate installation, maintenance, and repair services when needed.

  • Organize and support the logistics of meetings, conferences, and events, including venue arrangements, agendas, materials, and attendance coordination.

  • Take accurate meeting minutes, manage documentation, and follow up on action items and decisions.

  • Provide general administrative and presentation support to the program leadership and team members as needed.

Qualification:

  • B.A. in business administration or related field.
  • Up to 5 years of experience in a similar role.
